Changes to Order and Delivery Parameters, such as Delivery date and Lead time schedule are now possible directly in SCOT.

It all starts with suppliers who can check their existing data and request changes in SCOT. From their side, Metro Admins have visibility over these requests and approve or reject them directly in SCOT. However, an additional step is needed for Admins: to manage the upload of the new data in the sourcing systems (MMS) if they approved suppliers' change requests. When this is done, the approved change requests can be considered as completed. 

 

 
 

1. Manage Change Requests from Suppliers 

Once Admins access the Order/Delivery Parameters tab, they have immediate visibility over the Manage Request grid where they can check the change requests created by suppliers. All new requests are shown by default in the grid (status Created).  

 

On top of the Manage Request grid, there is a Filter Status selector allowing to filter the change requests depending on their current status.  

These are the 5 available statuses:  

 

  • Created - Status set by the system as soon as a new record is created. It indicates that supplier created a request and can still edit or delete it.  

  • In Progress - Admin started working on the request. Supplier can no longer modify it. 

  • Approved - Admin approved the request but the needed update was not yet done in the Metro sourcing systems (MMS). Once approved, supplier cannot modify the request anymore. 

  • Rejected - Admin rejected the request. The record becomes available again for the supplier and he can edit it if needed. 

  • Completed - Admin approved the request and the change was applied in the sourcing systems (MMS). 

In the Manage Request grid, Admins can change the status for one or several Created change requestsas they start working on them. For instance, if they start working on requests, they can select those requests in bulk and then click the needed radio button in the "Change Status To" area. Status can be changed to In Progress, Approved or Rejected.

Once Admin changes the Created status to In Progress, the supplier cannot modify the request anymore. After the In Progress status is set, Admin can either approve or reject the request. 

Once a record is approved, it becomes visible in the grid when the Approved filter option is selected.   

IMPORTANT! Admins need to manually extract changes and see that they are implemented in the sourcing systems (MMS). After the update in the sourcing system, the respective records will be listed in the grid when status Completed is selected.  

 

While approving or rejecting a request, a pop-up window appears where Admin can, optionally, enter comments for that change request. If a comment is entered, this is marked with a blue icon under Comment in the Manage Request grid.  

 

By clicking the Comment icon, a pop-up will show all existing comments for that record (from supplier and/or Metro).

All the requests can be downloaded as an Excel file by clicking on the three dots at the upper right side of the grid and then on the option Export Manage Request. 

 
 

IMPORTANT! The grid has an Extracted column which is set by default to NO. This column in very useful because it indicates to the Admins which approved records have been extracted to be integrated into MMS and which have not. Once the information of the approved requests is downloaded in Excel or CSV, the Extracted column will show YES for those records. 

 

 


2. Search Filters and Order Delivery Parameters grid 

Below the Manage Request grid, Admins have theOrder Delivery Parameters grid which includes all records related to Order Delivery Parameters from the sourcing system (MMS).  

Clicking the Search button will show the results in both Manage Request and Order Delivery Parameters grids. 

IMPORTANT: 

- The Contributor Type andSubsys Number filter impacts only the Order Delivery Parameters results grid, not the Manage Request grid. 

-  The Portfolio, Supplier, Article Variant No - Name, Supplier Article No and GTIN filters impact both grids: Order Delivery Parameters and Manage Request.
